  • Collection of all condominium fees and special assessments with appropriate follow-through.
  • Approval and payment of all bills.
  • Preparation of regular monthly reports to Trustees, detailing income and disbursements, and tailored to the particular needs of the complex. 
  • Development, with Trustees, an operating budget as well as a long-term program for capital improvement and preservation expenditures.
  • Providing information for and cooperating in the preparation of tax returns.
  • Reviewing expenditures, such as oil, insurance premiums, where savings, sometimes very significant, might be effected, and obtaining competitive prices.



  • Supervision of the cleaning and maintenance of common areas, including, but not limited to, janitorial services, snow removal, landscaping, maintenance of elevators, alarm systems, common heating and cooling issues, sprinkler systems, etc, through both preventative maintenance and initiating routine repairs.
  • Solicitation of outside contractors, obtaining bids when appropriate, and supervision/inspection of contracted work.
  • Providing 24 hour emergency service and "subject to call" policy for key personnel with rapid access to qualified staff or licensed repair services, when necessary.
  • Regular site and grounds inspections with follow-up to address needed repairs.



  • Meeting with Trustees as required and distributing all meeting minutes.
  • Assisting in the preparation for annual meetings, including Board elections, attending the meetings and filing appropriate documents for recording.
  • Maintaining building files and records, including up to date owner and resident lists.
  • Assisting unit owners with documentation required for purchase, sales and refinancing.
  • Maintaining appropriate association insurance in force and filing claims promptly, if necessary. Shepherding insurance claims to a satisfactory settlement.
  • Working with the condominium's attorney, accountant or other professional providers, as required, regarding changes to by-laws, legal actions, audits, tax filings, etc.
  • Generating and/or distributing correspondence and notices to owners and residents on all issues, i.e.: policies, work projects, rules and regulations. condominium orientation, newsletters, etc., as well as responding to routine queries.
